1.Enhancements to Onboarding Responsible Groups
We’ve enhanced the UIs of Onboarding General Settings and increased the limit of users in a responsible group.
Here is the list of enhancements we’ve made:
- In Onboarding General Settings, all responsible groups can be displayed. When more than 10 groups are created, exceeded groups are hidden in the More option and you can choose to display all groups.
- You can search responsible groups by ID or name and sort responsible groups by name.
- You can add up to 200 people from roles, static users, and dynamic groups in one responsible group.NoteIf the selection criteria contain more than 200 people, only the first 200 are added as responsible users. These 200 people are fetched in the order in which they’re added.
- You can now assign responsible groups containing maximum 200 people to the following tasks:
- New hire data review New hire activities Offboarding data review Offboarding activities

How It Looks Now
In the current version, you can search and filter in the Responsible Groups section and the instruction note is updated with the lifted limit.
How It Looked Before
In the previous version, there was no search or filter function in the Responsible Groups section and the limit for static users and dynamic groups were different.

2.Custom Tokens in Email Notification
You can now use custom tokens such as Legal Entity, or Position in the email notification template.
To add the custom tokens in the email notification, you must:
- Create the custom token template content using Document Generation- Manage Document Template.
- Map the custom tokens using Document Generation- Manage Document Template Mapping.
- Insert the custom tokens in the email template in Email Services.
Note
Fields from custom MDF objects cannot be mapped to custom tokens.
Custom tokens are not supported in templates with trigger (ONB) Suite mapping error Trigger.
Role-Based Permission Prerequisites
You have the User Manage Document Generation Templates Generate Document permission.
What’s Changed
In the new version, you create a custom token template content using Document Generation- Manage Document Template.
You must then map the the custom tokens using Document Generation- Manage Document Template Mapping.
After mapping the custom tokens, you can insert the custom tokens in the email template in Email Services.
How It Looks Now
In the previous version, custom tokens weren’t available.

3.Enhancements to Onboarding Dashboard (New)
The Onboarding Dashboard (New) has been enhanced with new UI elements helping with the onboarding tasks.
These enhancements are as follows:
- You can view contact details of new hires and hiring managers by selecting next to their names.
- You can easily scan your tasks for new hires and take actions directly from the Onboarding Dashboard (New). If there are pending tasks in a task category assigned to you, a notification badge on the status button lets you know how many tasks you have for this new hire.
- Status of onboarding tasks are buttons now that can be used to start tasks assigned to you. In the Complete My Tasks popup, choosing each task takes you to the corresponding task details page to complete the task.
- The View Details button in each row on the Onboarding Dashboard (New) is replaced with for navigation to the task details page.
These enhancements improve the efficiency of completing onboarding tasks for hiring managers and participants.

4.Enhancements to Cancel Onboarding Process
We’ve enhanced the user interface and removed certain role-based permissions required for canceling the Onboarding process for a new hire.
Here are the enhancements:
- The error message that appears while canceling the request for a new hire now shows details about the mandatory fields that can’t be blank.
- You no longer require Employee Central Foundation OData API (read-only and editable), and Employee Central HRIS OData API (read-only and editable) role-based permissions to cancel an onboarding process for a new hire or to trigger no-show for a new hire.
The enhancements improve usability and protects sensitive information of employees across the organization.

You have the Administrator Manage Onboarding or Offboarding Cancel Onboarding Permission permission.

5.Enhancements to External User Visibility Tool
More objects are added in the External User Visibility tool.
You can allow Onboarding new hires to view the following new objects. We’ve also expanded the coverage of some existing options.
- Newly added objects:
- Division
- BusinessUnit
- PayScaleType
- PayScaleArea
- EmployeeGroup
- PersonnelArea
- JobClassification
- AddressValidationConfigurationForEmployeeAddresses
- Existing options previously with the suffix “_dependent” now include two more objects (one for onboardee and the other for employee) and the “_dependent” suffix is removed. For example, the object personInfo_dependent has been renamed to personInfo and it now contains three objects: personInfo_dependent, personInfo_onboardee, and personInfo_employee.
The capability to configure the visibility of these objects by customers themselves helps to reduce the time for customers to resolve issues related to the visibility of these objects.
What’s Changed
In the current version, customers can configure the visibility of newly added objects for Onboarding new hires.
In the previous version, customers need to create a ticket for Product Support to add those objects.
