1. Access to Additional Data Collection Document Uploads from the Onboarding Dashboard
You can now access documents that are uploaded during Additional Data Collection from the Onboarding Dashboard (New).
This enhancement allows you to access document uploads that are uploaded during Additional Data Collection along with documents signed during the Onboarding and the Compliance document workflow. You can access these document uploads by selecting the specific new hire from the Onboarding Dashboard (New) and then selecting Actions Onboarding Documents from the New Hire Details page.
Using this enhancement, along with documents generated through Onboarding and Compliance document workflows that were previously accessible, you can now access Additional Data Collection documents that are uploaded from the Onboarding Dashboard (New).
Configuration Requirements
Ensure that the Attachment Field Configuration is created for corresponding attachment fields in the Metadata Framework (MDF) object to view the attachments uploaded during Additional Data Collection.
Note: Existing document uploads aren’t visible in the Onboarding Dashboard (New) if the configuration requirements aren’t met at the time of upload.
How It Looks Now
In the current version, you can download documents uploaded as part of Additional Data Collection from the Onboarding Dashboard (New).
In the previous version, documents uploaded as part of Additional Data Collection weren’t visible in the Onboarding Dashboard (New). Only documents generated through Onboarding and Compliance document workflows were visible.

2. Change in Onboarding Data Collection Drafts
From 1H 2023, only you can view the drafts saved by you during the Onboarding data collection process. The access to the saved draft is restricted to the user who creates it.
When you revisit your drafts, you can only see the drafts saved by you. Once you submit your review, all the drafts saved, irrespective of who created it, are deleted. For example, the drafts saved by the Hiring Manager are restricted to the Hiring Manager who creates it. Similarly, drafts saved by the New Hire are restricted to the New Hire who creates it. The Hiring Manager can’t view the drafts saved by the New Hire and vice versa. If the Hiring Manager submits the data after review, then all the drafts saved by other users are deleted.
Previously, when you revisit your drafts, you could see the drafts saved by others.
We’ve made this enhancement to ensure that only you can access or edit your draft.

3. Configurable Due Date for New Hire Task Completion
You can now configure the Due Date for new hire task completion to a date before the new hire’s start date.
Using this configuration, you can define a custom due date which can be applied to all new hire tasks. These tasks include Personal Data Collection, Additional Data Collection, New Hire Data Review, Document Flows, and Onboarding Rehire Verification. The Onboarding Dashboard (New) displays the corresponding task due date for various new hire tasks based on the configured value.
Note
- The task due date configuration is a global setting. Once configured, the changes apply to your entire organization.
- You can configure the due date only for new hire tasks. The configuration isn’t applicable for internal hiring, Offboarding, Compliance, or hiring manager activities that include writing a welcome message, assigning a buddy, scheduling meetings, setting goals, and so on.
This enhancement provides flexibility for new hires to effectively complete new hire tasks before their Start Date and improves the overall Onboarding experience.
How It Looks Now
In the current version, the start date and due date are decoupled. You can now specify the number of days before the start date by when the assigned task must be completed by the new hire.
How It Looked Before
Previously, all tasks were due on the Start Date of the new hire and weren’t configurable.

4. Configurable New Hire for Onboarding
With the configurable new hire feature, you can create hire templates with the blocks needed for the type of employment you’re hiring for in Onboarding. You can also configure the templates with business rule scenarios.
Configurable new hire in Onboarding enables you to create a Hire Template and create a business rule that helps you in selecting the right template.
You can either use Onboarding New Hire or Onboarding Manager from the Template Type drop-down list while creating the Hire Template.
There are two new rules that you can use to configure the Hire Template. One is the Set Hire Template for New Hire rule and the other is the Set Hire Template for Onboarding Participant or Responsible User rule.
You can assign the business rule to different scenarios in the Onboarding Configuration page. There are three new fields added:
- Rule for New Hire Data Review Template
- Rule for Personal Data Collection Template
- Rule for Access New Hire Data Template
Once, the Hire Template is configured, based on the rule, the right template is selected in the Onboarding hiring activities like New Hire Data Review, Personal Data Collection, and Access New Hire Data.
While creating the Hire Template, you can add, remove, and rearrange the order of the blocks as well as add standard and custom MDF objects to the configuration.
How It Looks Now
You can create the Hire Template based on your hiring requirement with custom MDF objects. You can then configure the Hire Template using business rules.
For example, the template is configured with custom MDF objects such as the new hire’s gym membership and vehicle details.

5. Custom Email Notification Triggers Using Business Rules
You can configure the new rule function Trigger Email Notification for Onboarding Processes in business rules to trigger email notifications to onboarding participants.
This rule function can be configured for Onboarding processes, such as new hire and rehire data review tasks, manage pending hires, personal data collection, and custom data collection.
This enhancement provides a method to trigger emails for Onboarding process steps that aren’t supported by preconfigured email notifications.
How It Looks Now
In the current version, the new rule function Trigger Email Notification for Onboarding Processes is available when you choose the Execute action to define the Then statement of a business rule.
In the previous version, it wasn’t possible to use business rules to trigger email notifications.

6. Enhancements to Onboarding Responsible Groups for U.S. Form I-9 and E-Verify
You can now assign responsible groups containing up to 200 people to the U.S. Form I-9 and E-Verify tasks.
The following screen image shows the New Hire Details page, with the Complete Form I-9 Section 2 task highlighted to show that this task is assigned to more than 40 people.
What’s Changed
In the current version, you can now add up to 200 people in a responsible group assigned to the U.S Form I-9 and E-Verify tasks.
In the previous version, you could only add up to 20 people in a responsible group assigned to the U.S Form I-9 and E-Verify tasks.
